Job Description:
Our client is seeking a polished and professional Guest Services Administrator to join their team. This customer-facing role supports the company’s culture and daily operations by ensuring a welcoming and efficient front desk experience. The administrator oversees guest check-ins, front desk email, and processing of incoming POs while providing general assistance to the facilities administration team. This position combines exceptional customer service with organizational skills to maintain a professional and orderly environment.
Responsibilities:
- Guest and Visitor Management:
- Greet and assist visitors, customers, and employees with professionalism and friendliness.
- Manage check-ins, issue visitor badges, and assist with customer experience center operations.
- Communication & Coordination:
- Answer and direct calls and emails from the main phone line and inbox.
- Handle correspondence and distribution of deliveries, mail, and packages.
- Administrative Support:
- Perform data entry tasks, including updating employee databases and processing purchase orders.
- Support office supply inventory management, including ordering and maintaining equipment.
- Assist with special projects, event planning, and meeting setups.
- Facility Management:
- Ensure the front desk, lobby, and shared spaces are clean, organized, and welcoming.
- Conduct regular inspections of kitchens, restrooms, meeting rooms, and coffee stations.
- Oversee building access systems, including badge creation and management.
Required:
- Exceptional professionalism and a customer-focused attitude.
- Prior experience in a similar customer-facing role.
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, etc.) and ability to adapt to new technologies.
- Excellent verbal and written communication skills.
- High school diploma or equivalent.
- 3–5 years of office administration or hospitality experience.
- Physical ability to perform tasks such as moving chairs/tables and lifting up to 25 lbs.
